A document is not yet a system
Useful operational knowledge has an owner, purpose, audience, trigger, inputs, steps, exceptions, controls, output, review date, and change history.
This structure helps people perform the work consistently and gives approved AI tools a governed source of truth.
Starter structure
For each process, capture the process name, objective, accountable owner, required access, inputs, numbered steps, decision points, exception path, escalation contact, quality check, evidence retained, output, related systems, and review cadence.
Separate confirmed policy from team convention and clearly mark steps that require human judgment.
Maintain adoption
Assign a knowledge owner, version the source, train the team, test the process with a new user, and review it after material tool, policy, or ownership changes. Archive superseded versions without destroying required evidence.
Use this free resource on your own, or bring it to a free 15-minute fit call. A separate paid 60-minute assessment ($350–$750) produces a one-page scorecard, prioritized risks, a 30-day action plan, scope and quote.
